Letter to Our Patients and FAQ

Dear Valued Patient,

Since 1989, Pacific Women’s OB/GYN has been dedicated to providing compassionate, high-quality care with a singular focus on your health and well-being. As a small, independent private practice, we remain committed to delivering the personalized attention that you deserve.
However, the healthcare landscape is changing. Rising costs and increasing administrative demands have made it challenging for independent practices like ours to sustain the level of service we strive to provide. To ensure we can continue offering exceptional, patient-centered care, we are introducing an annual administrative fee starting June 1, 2025.

This fee supports services that go beyond those covered by health plans. These include:
● After-hours access to OB/GYN specialty-trained nurse practitioners for urgent concerns
● Timely telehealth visits for added convenience
● Enhanced patient portal features for easy communication
● Priority authorizations for medications and diagnostic tests
● Expedited completion of disability and other necessary forms
● Referrals to a trusted network of specialists and primary care providers

This update will allow us to maintain the high standard of care you expect while ensuring our practice remains strong for years to come. We appreciate your trust and understanding as we make this transition.

Warmly,
Pacific Women’s OB/GYN Medical Group

FAQs

Why is there an administrative fee?
The expenses associated with running a medical practice have been steadily increasing. Obtaining prior authorizations from insurance companies for surgeries and medications has become more and more complicated, requiring addition of dedicated staff. The cost of living in the Bay Area has risen significantly, leading to increased payroll expenses in order to provide fair and livable wages for our team. Moreover, inflation has caused a surge in the cost of both rent and medical supplies. Introducing this administrative fee will help us continue providing the personalized care you value while upholding the highest standards of quality.

When does the administrative fee go into effect?
The annual fee begins on your first appointment starting June 1, 2025.

How much is the administrative fee?
The annual administrative fee is $250.

How do I know if the administration fee applies to me?
Please refer to the information below and your physician’s personal page to determine if the fee applies to you.

How is the fee collected?
We encourage you to pay ahead of your appointment by using the make a payment button on our website. The fee may also be collected at your first appointment starting June 1, 2025 and annually thereafter.

Can I apply my copay to the annual fee?
No. Your copay is a form of cost-sharing your insurance has implemented. It is your share of the cost of a covered health service. This is different from the administrative fee.

Will my insurance cover the annual fee?
No. The annual fee covers services that are not covered by health insurance plans.

Can I use my HSA for the annual fee?
Yes, depending on the plan, you may be able to pay the annual administrative fee with your HSA or any similar account from work. Please check with your health spending account to be sure this is part of your plan.

What if I am a postsurgical patient with an upcoming follow up appointment?
We will continue to provide the standard postoperative care after your surgery.

What if I am currently pregnant and have already started care with my provider?
Please refer to your physician’s personal page on this website for specifics.

What if I made my appointment prior to May 1st?
There will be a 3 month grace period. For June, July, and August appointments made prior to May 17th, no administrative fee will be required.

What if I do not want to pay the fee?
We understand that this may not be the right fit for everyone. If you choose not to pay the fee, we encourage you to seek care with another provider. To ensure a smooth transition, we will continue to provide emergency care for 30 days.
